How do I add respondents to a survey?

Respondents are the people that will be asked to complete the survey. They can include:

  • Subject (Self-assessment)
  • Peer (Co-workers of the survey subject)
  • Managers (Managers of the survey subject)

Anyone that will be asked to complete a survey must be entered onto the Well-being Solved 360 Survey platform.

This is done via the Users function of the Management section. After logging in to the platform:

  1. Click on Users in the Management section of the sidebar navigation.
  2. Click the blue Invite User button.
  3. Complete the form with the user's First Name, Last Name, Email Address.
  4. Select the role of the user. Either User, Manager, HR Admin or Company Admin (access rights shown below).
  5. Click the Send Invitation button.

The new user will receive an email inviting them to log in with the provided details. If the email doesn't arrive, check the spam and junk folders. The new user is now ready to be included in surveys.

User roles have the following access levels. Limit Company Admin accounts to only 2 or 3 for security and privacy reasons.

Employee (Base Role)

  • View surveys they're invited to participate in
  • Complete assigned assessments
  • View their own response history
  • Access basic dashboard analytics for their submissions
  • Cannot create or manage surveys

Manager (Managers are not always needed to allocate surveys, as HR or Company Admins can create and manage them independently, keeping the process within HR or Learning and Development).

  • All employee permissions plus:
  • Create and manage surveys for their team members
  • View survey responses for surveys they created
  • Access team analytics and progress reports
  • Invite participants to surveys
  • Launch and monitor survey campaigns

HR Admin

  • All manager permissions plus:
  • Create surveys across multiple departments
  • Access company-wide analytics and reporting
  • Manage user invitations and onboarding
  • View aggregated assessment data
  • Generate comprehensive reports for leadership

Company Admin

  • All HR admin permissions plus:
  • Manage company settings and SMTP configuration
  • Control user roles and permissions within the company
  • Access all company surveys and responses
  • Configure email templates and branding
  • Manage privacy and data settings
